We introduce and facilitate bookings between healthcare professionals (“Workers”) and care providers (“Providers”).

We are the data controller for personal data collected through our website, Google Forms, and related services.

1. Information We Collect

For Workers:

2. How We Use Your Data

  • Register interest from Workers and Providers

  • Verify credentials and compliance for healthcare work

  • Introduce and facilitate bookings between Workers and Providers

  • Communicate about current or future shifts

  • Send service or compliance updates (only with consent)

  • Maintain records for audit, safeguarding, and quality purposes

3. Our Legal Basis

 

 

We rely on the following lawful bases under the UK GDPR:

 

  • Consent: when you tick a box, submit a form, or agree to our terms

  • Legitimate Interests: to match Workers and Providers and manage our operations efficiently

  • Legal Obligation: to meet regulatory, safeguarding, and right-to-work requirements

  • Children’s Data: We do not knowingly collect data from individuals under 18 years old.

  • Data Processors and Transfers: We ensure all third-party processors (e.g. Google, email systems) comply with UK GDPR and, where data is transferred outside the UK/EEA, appropriate safeguards such as Standard Contractual Clauses are in place.

4. Data Retention

We retain Worker and Provider data for up to three (3) years after last contact or engagement, unless deletion is requested sooner.

We periodically review and delete data that is no longer necessary.

5. Sharing of Data

​

We share data only when required to deliver our service:

 

  • Worker details may be shared with relevant Providers for introductions or confirmed bookings.

  • Provider details may be shared with Workers for confirmed bookings.

  • We use secure third-party systems (e.g., Google Forms, email services) to process and store data within the UK or EEA.

  • We do not sell, rent, or trade personal data to unrelated third parties.

Terms & Disclaimer

Introducer Only

​

Shiftra is an introducer and booking-facilitation platform.​ We connect healthcare professionals (“Workers”) with care providers (“Providers”) for temporary or ongoing work.

​

Shiftra is not the employer of any Worker and is not responsible for payroll, tax, pension, insurance, or employment rights.

​

Shiftra acts solely as an introducer under the Conduct of Employment Agencies and Employment Business Regulations 2003. We do not engage in recruitment or employment activities as defined under these Regulations.

​

​

Professional Responsibilities (Workers)

​

• Keep all compliance documents (DBS, right to work, training certificates) valid and up to date.

• Agree shift details, rates of pay, and cancellation terms directly with the Provider.

• Maintain professional conduct, punctuality, and safe practice at all times.

​

 

Provider Responsibilities

 

• Verify Worker documentation before confirming any booking.

• Pay Workers directly for all completed work.

• Manage cancellations, performance, or disputes with the Worker in line with your own policies.

Payments & Fees

​

• Each confirmed booking arranged through Shiftra is subject to a booking fee payable by the Provider. The booking fee covers administrative and platform facilitation costs and does not constitute payment for work performed by the Worker.

• Invoices are issued by Shiftra upon booking confirmation and are payable within 14 days.

• A 50 % cancellation fee applies if the Provider cancels a confirmed booking less than 24 hours before the scheduled start time.

• Shiftra does not deduct fees from Workers, handle payroll, or guarantee Provider payments.

Cancellations & Disputes

 

• Cancellations should be communicated directly between the Worker and the Provider as soon as possible.

• Shiftra is not responsible for no-shows, cancellations, or unpaid work.

• Repeated non-attendance or unresolved issues may result in suspension from the Shiftra platform.

​

 

Liability

​

Shiftra acts solely as an introducer and accepts no liability for financial loss, injury, or damages arising from introductions, cancelled shifts, or any engagement between Providers and Workers.

​

To the fullest extent permitted by law, Shiftra disclaims all implied warranties and shall not be liable for any indirect, incidental, or consequential damages arising out of introductions or use of the platform.

​

Nothing in this statement limits liability for fraud, death, or personal injury caused by negligence.

​

 

Insurance Disclaimer

 

Shiftra does not provide professional indemnity, public liability, or employer’s insurance.

All healthcare professionals and Providers must ensure they hold appropriate cover before any engagement.

Trust & Safety

Verification

 

Every healthcare professional introduced through Shiftra is required to provide:

 

  • Valid DBS certificate

  • Proof of right to work in the UK

  • Training certificates relevant to their role

  • Photo ID

Ongoing Compliance

 

  • Documents must remain valid to stay active on Shiftra.​​

  • Providers should always check documents before confirming work.

Safeguarding

​

If we become aware of a safeguarding concern, Shiftra reserves the right to suspend introductions and share information with relevant authorities.

​

 

Transparency​

​

Our process is designed to ensure providers have clear visibility of professionals before introduction.

Reporting a Concern

​

Concerns about safety, compliance, or conduct can be reported confidentially to hello@shiftra.co.uk. Where appropriate, we will cooperate with safeguarding authorities, the CQC, or local councils.
